Position Overview:
Electra.aero, Inc., a next gen aerospace technology company seeks an experienced administrator who works well under pressure, pays extremely high attention to detail while maintaining a quick pace of work-product turn-around, is a self-starter, and wants to work in a collaborative and open environment. This teammate will need to connect task management to larger organizational priorities with a high degree of confidentiality and a sense of urgency. The ideal candidate must possess the ability to effectively manage within a streamlined, fast-paced, entrepreneurial, innovative environment and without further administrative staff of their own. This candidate must have top-quartile communication skills.
The Big Picture:
- Smart and Kind: As the representative for the Chief Executive Officer, this individual will be Electra's front-line representative with a host of stakeholders, both external and internal. This individual will need to exemplify Smart & Kind throughout the day in their interactions and under the dynamic pressures that come with assisting the CEO and the company's top strategic agendas.

The unique role of the CEO's assistant in supporting customer and other stakeholder visits to the Company, requires great EQ skills from candidates, with a strong passion for customer service and an ear for customer complaint. Key Responsibilities and Essential Job Functions:
- Operational Excellence: Establish an approach that demonstrates the office of the CEO is professionally managed, reflecting a high standard of operational excellence and creating a seamless environment that enables the CEO to function at their highest level.
- Board Support: Assist the Boards (Directors and Advisors) with correspondence and meeting planning. Coordinate the preparation, assembly and distribution of all materials and packages for Board meetings as directed. Ensure proper Board meeting setup and travel and other arrangements for Directors and Advisors as necessary
- CEO Comprehensive Administrative Support: Provide comprehensive administrative support to the CEO and support projects that relate to the CEO, the Board of Directors, the Board of Advisors, and the Senior Leadership Team (SLT).
- Calendar and Travel: Manage the CEO's calendar, travel, meeting, and schedule arrangements, including setting up appointments, scheduling meetings, resolving conflicting priorities and ensuring that the CEO is on time, organized and prepared for each meeting/appointment. This includes responsibility for the management of Outlook calendar entries. Includes initiating contact and securing appointments, equipment, and facilities as appropriate.
- Meetings and Materials Preparation: Coordinate SLT meeting agendas, room reservation, materials preparation, setup including refreshments, e.g. soda and snacks, etc., catering and A/V equipment. Manage other cross-company meeting activities (e.g., All Team meetings; All Managers meetings; Brown Back lunches; and other key event activities)
- Administrative Collaboration: Collaborate closely with other team members to ensure the above responsibilities. Coordinate especially closely with the Office Manager and Office Specialists to serve as a liaison for the CEO's input on management and maintenance of the office environment.
- Expenses: Reconcile monthly credit card and business-related expenses for CEO. Prepare and submit monthly expense reports on behalf of the CEO.
- File Organization: Maintain organized and complete electronic file system to document projects, correspondence and activities of the CEO.
- Administrative Tools and Processes: Assist with tools and processes to keep ensure coordination and connectivity between the Company's functions and the CEO.
- Special Projects: Take on a range of special projects that the CEO may identify in the course of the role.
- Confidentiality: Maintain a high degree of confidentiality.
- Other duties as assigned.
Required Skills and Qualifications:
- Bachelor's degree from an accredited institution in Business Administration or related discipline is preferred.
- Minimum 10 years of related professional experience, at least 5+ years of experience working with and supporting VP/Director/C-Level Executives, preferably with CEOs.

- Fluency in Microsoft SharePoint, the MS Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
- Maintain onsite, daily office hours in Manassas, VA
